This guide explores key features of Zoom you may want to use to support a participatory session for the Unconference, as well as important accessibility considerations. <\/span><a href=\"https:\/\/support.zoom.us\/hc\/en-us\"><span style=\"font-weight: 400;\">For more support on how to use Zoom, visit here<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0\u00a0<\/span><\/p><h5><span style=\"color: #800000;\"><b>Think about Accessibility<\/b><\/span><\/h5><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Provide auditory descriptions of images that are displayed<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Provide a clear outline or agenda of the meeting and have a process for people to take breaks\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Use a \u201cshared harvest\u201d that allows for simultaneous note taking in a Google Doc, Microsoft Word Online, or similar software This allows people to view what they missed if they need to leave, helps you by having others take notes with you and can clarify what is said (including spelling) as well as allows another way to process the information. This is your camera control button. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">To adjust your camera, video settings, or add a virtual background, click on the ^ to the right of this button.<\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Orange Arrow: \u2018Security\u2019<\/i><\/b><i><span style=\"font-weight: 400;\">.<\/span><\/i> <span style=\"font-weight: 400;\">This allows you to manage the security of the call. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">Click on this button to toggle on\/off features like \u2018enable waiting room\u2019, and what you allow participants to do, like \u2018chat\u2019, \u2018rename themselves\u2019, and whether they can \u2018unmute themselves\u2019 or \u2018start video\u2019. Be sure you have your preferred security settings put in place before starting.<\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Yellow Arrow: \u2018Participants\u2019<\/i><\/b><span style=\"font-weight: 400;\">.<\/span><span style=\"font-weight: 400;\"> This is your button to manage participants. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">When you click on this button, a new \u2018Participants\u2019 menu will pop up where you can see who is in the call, who is in the waiting room (and let them in), etc. You can \u2018rename\u2019 people here. You can see whose microphone is on, and turn it off, or can click the \u2018mute all\u2019 button if needed to reduce background noise. Additional settings for participants can be found when you click \u2018more\u2019. If needed, you can remove people from the meeting through this menu.<\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Green Arrow: \u2018Chat\u2019<\/i><\/b><span style=\"font-weight: 400;\">. To access the chat feature, click this button. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">You can message \u2018Everyone\u2019 in the call, or send messages to specific individuals. Be sure who you have selected in the \u2018To\u2019 area before sending a message. You can adjust who participants can chat with by clicking on the \u2018&#8230;\u2019 in the participants menu. You can share links to collaborative tools for the session here (e.g. a google doc or google slides, jamboard, miro board, mural)<\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Light Blue Arrow: \u2018Share Screen\u2019<\/i><\/b><span style=\"font-weight: 400;\">. <\/span><span style=\"font-weight: 400;\">This button allows you to share content. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">Clicking on the \u2018Share Screen\u2019 button will cause another menu to pop up. You will be asked to choose what you would like to share, or to activate the whiteboard &#8211; note that some options share your entire screen, while some share a single app, or web browser tab. IMPORTANT NOTE: if you have a video or need to share audio, be sure to check \u2018share sound\u2019 in the bottom left. You can share just computer audio or a video file by choosing \u2018advanced\u2019 at the top of the menu and selecting either of those options. <\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Blue Arrow: \u2018Record\u2019<\/i><\/b><span style=\"font-weight: 400;\">. The button to toggle off and on the recording. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">Press this button to start\/pause the recording of the session. Note that only the main session will be recorded, recording is not available in breakout rooms. We are asking hosts to record their sessions and upload the video to their google folder. <\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Dark Blue Arrow: \u2018Live Transcript\u2019<\/i><\/b><span style=\"font-weight: 400;\">.<\/span><span style=\"font-weight: 400;\"> This allows you to turn off\/on different captioning options. You have the option to enable auto transcription which is free with Zoom. <\/span><p><\/p><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b><i>Purple Arrow: \u2018Breakout Rooms\u2019<\/i><\/b><span style=\"font-weight: 400;\">.<\/span><span style=\"font-weight: 400;\"> This button allows you to create and manage breakout rooms.<\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">You will be asked how many rooms you want to create, and to decide if participants should be assigned automatically, manually (by you), or to let participants choose room. Once you have made these choices, a new menu will pop up. By hovering over Rooms you can rename the room and assign people to them. You can move people between rooms once sorted by hovering over their name. When you lock a Zoom Meeting that\u2019s already started, no new participants can join, even if they have the meeting ID and password (if you have required one). In the meeting, click Participants at the bottom of your Zoom window. In the Participants pop-up, click the button that says Lock Meeting.<\/p><p><strong>Remove unwanted or disruptive participants<\/strong>: From that Participants menu, you can mouse over a participant\u2019s name, and several options will appear, including Remove. Click that to kick someone out of the meeting.<\/p><p><strong>Put \u2018em on hold<\/strong>: You can put everyone else on hold, and the attendees\u2019 video and audio connections will be disabled momentarily. Click on someone\u2019s video thumbnail and select Start Attendee On Hold to activate this feature. Click Take Off Hold in the Participants list when you\u2019re ready to have them back.<\/p><p><strong>Disable video<\/strong>: Hosts can turn someone\u2019s video off. This will allow hosts to block unwanted, distracting, or inappropriate gestures on video or for that time your friend\u2019s inside pocket is the star of the show.<\/p><p><strong>Mute participants<\/strong>: Hosts can mute\/unmute individual participants or all of them at once. Hosts can block unwanted, distracting, or inappropriate noise from other participants.
